    COVID-19 and the 2020 ACC Annual Meeting

    We are committed to providing you the education, networking, and legal department solutions you need this fall. Originally, our plan was to host the 2020 ACC Annual Meeting (#ACCAM20) as a hybrid live/virtual meeting, with speakers and breakout sessions available to all attendees, whether joining us in Philadelphia or from their homes. However, due to recent spikes in COVID-19 cases and in the interest of attendee safety, ACC made the necessary decision to change course: #ACCAM20 will be 100 percent virtual.

    Event Code of Conduct

    We expect all participants at ACC meetings to abide by this Code of Conduct in all venues throughout ACC meetings, including ancillary events and social gatherings, whether they are official or unofficial. You will acknowledge, review, and accept adherence to this code via the online registration form.

    Group Rates

    Any company registering three to seven attendees will receive a group discount of $50 off of each registration.

    Any company registering eight or more attendees will receive a group discount of $100 off of each registration.

    When registering online, please indicate you will be registering a group. Registrations must be submitted at the same time to receive the discount. Group discount cannot be combined with other offers or discounts and is only applicable to full registrations. Offer excludes day pass registrations.

    If paying for your group via check or wire transfer, or if you need additional support with group registrations, please email education@acc.com and we will assist in registering your group.

    IMPORTANT NOTE: Payment for a minimum of three registrations must be received at one time in order to qualify for the group rate. No retroactive group rates will be given. If you already have a group registration for your organization and would like to add additional registrants, please email education@acc.com and we can assist you. 

    Confirmation

    Registrations are not considered confirmed until payment is processed. Please do not consider your registration complete until you have received the confirmation email.

    If you are an ACC member, after registering for the Annual Meeting, you will receive a written registration confirmation by email.

    If you are a nonmember, after registering for the Annual Meeting, you will receive a written acknowledgement of receipt of your registration by email, followed by a registration confirmation after your eligibility has been approved. Please allow 24-48 hours after submission for eligibility approval.

    Cancellation Policy
     

    COVID-19 UPDATE TO CANCELLATION POLICY:
     

    Register with confidence.

    Should you need to cancel your ACC Annual Meeting registration, there are numerous options available to you:

    • Apply your registration fee to the 2021 Annual Meeting - if you choose this option, you will lock in your registration fee at this year's price;
    • Receive a 100% credit* of monies paid applied to a future ACC HQ education program, valid through December 31, 2022; OR
    • Receive a 100% refund of monies paid – no administrative or cancellation fee will apply. Refund request must be received in writing by October 12, 2020.

    Your registration will be 100% refundable until October 12, 2020. No administrative or cancellation fee will apply. A 50% credit* of monies paid will apply to cancellations received after October 12, 2020. All registration cancellations must be received in writing via cancel@acc.com. Registrations cannot be cancelled over the phone. Cancellations for registrations processed at the nonmember rate will not be refunded the $385 membership fee included with the registration.

    *Credit issued may be used towards the following ACC education programs: Annual Meeting, Corporate Counsel University, Xchange, and Global General Counsel Summit (eligibility requirements apply). Credit may not be used towards any other educational programs not included above. Credit may not be divided among programs and any remaining funds following credit application will be forfeited. Credit may be transferred to an eligible attendee from the same organization, but written notification of transfer (via cancel@acc.com) must be received from the original purchaser in order for the credit to be valid. Credit will expire after December 31, 2022.

    Attendee Substitutions

    Substitute attendees (from the same organization and eligible to attend) are always welcome. Please email your request to education@acc.com.

    Financial Hardship Policy

    ACC offers a limited number of full- and half-price discounts to the Annual Meeting. Preference is given to ACC members who have already incurred the expense of membership dues. Application for hardship and granting of a hardship discount is limited to individuals who meet the criteria for program registration or attendance.

    All requests for full- and half-price discounts will be kept confidential and all such determinations will be made on a case-by-case basis. Applicant should fill out a web form explaining the need for financial assistance and how attending this program will be helpful. The deadline to submit an application for this year's Annual Meeting is October 6, 2020.

    Special Requirements

    Participants with special needs should note them on the registration form or contact ACC Education at education@acc.com. Requests for special accommodations should be sent as soon as you register, but no later than September 23, 2020, so that appropriate arrangements can be made.

    CLE/CPD & Certification Credit

    Credits for Live Virtual and On-Demand Virtual Courses

    Jurisdictions’ treatment of virtual courses varies – most grant credit for virtual courses, some require that it qualify under self-study rules/limits, and some treat live and on-demand virtual courses differently. We strongly encourage you to review your jurisdiction’s virtual/digital media course and self-study eligibility rules prior to selecting your Annual Meeting sessions. ACC will post any relevant information to the CLE/CPD chart as we receive it.

    ACC is applying for CLE/CPD credit for all sessions that are happening live (at the scheduled air dates/times) unless otherwise noted.

    Previously recorded sessions from the conference (on-demand content) will be available for attendee viewing during and after the conference. While not pre-approved, the on-demand content may be eligible for CLE/CPD credit under your jurisdiction’s self-study guidelines. Please consult your jurisdiction’s specific rules before submitting for credit for any of on-demand recordings you view. 

    What do the numbers on the CLE/CPD chart mean?

    The total credits listed reflect the maximum number of credits an attendee can earn at the 2020 ACC Annual Meeting, including the maximum ethics/specialty credits.

    How do I calculate my credits? 

    • Review the sessions you plan to attend, and compare them to the sessions approved on the chart. If your jurisdiction approved the session, you will earn credit once you attend the course. If the jurisdiction did not approve the session, you may still attend the course; however, your jurisdiction will not award you CLE/CPD credit for attending.
    • Pending session approval, in 60-minute states, every 60 minutes of instruction equals 1.0 credit. In 50-minute states, every 60 minutes of instruction equals 1.2 credits.

    How do I get my CLE/CPD certificate (Certificate of Attendance)?

    • About a week following the end of the meeting, we will email all attendees with information about accessing their personal CLE/CPD Service Center, where they will be able to confirm the sessions they attended and then download their Certificate of Attendance.
    • I didn't receive that email about CLE/CPD.

      We ask attendees to first check their spam/junk mail folders. The email sender will be ACC Education. If you still can't find the email, please contact us and we will re-send you that information.

    After the meeting, will I be able to get CLE/CPD credits for the sessions I watch on demand?

    It depends on your jurisdiction(s). Jurisdictions often require separate filing and reporting for online sessions. We will facilitate this the best we can.

    How does the Annual Meeting becoming all-virtual affect me?

    • If you had already registered to attend virtually - no action is required at this time.
    • What happens to my existing registration? (If it's in-person?)

      Your registration is automatically switched to virtual attendance.
    • What happens to my hotel reservation?

      You will need to contact your hotel directly to cancel your reservation.
    • What happens to my guest's registration?

      We are cancelling and refunding all guest registrations.

    What will the virtual Annual Meeting experience be like?

    Through our virtual meeting platform, in addition to being able to participate in live programming and engage with speakers who are sharing their thought leadership, and being able to access recorded sessions on-demand, you will be able to interact with sponsors and their booths in a lifelike 3D virtual exhibit hall, have one-on-one conversations with sponsor representatives, and listen to live and/or pre-recorded product demos. You will be able to network with other attendees through a virtual networking lounge, small group roundtable discussions, virtual “meet-ups,” and more. We will provide the content and tools, so that you can make this experience your own

    What will I have access to?

    Virtual attendance gives you access to all virtual programming which includes live content as well as on demand. 

    You will be able to network with peers and interact with law firms and legal service providers.

    As a brand new benefit, all registrants will receive access to all recorded sessions, on demand, for 3 months following the meeting, at no additional cost.

    As an Annual Meeting attendee, you will be able to:

    • attend live sessions or listen in at your own speed; 
    • connect and chat with thousands of your peers; and 
    • talk to speakers, thought leaders, and vendors about the latest tech, trends, and best practices across the in-house community
    • Plus, recently announced Keynote Speaker, Ivan Fong, general counsel at 3M, will still be delivering a thought-provoking address. 

    How do I access the conference?

    The virtual Annual Meeting can be accessed from wherever you have an internet connection.

    We will be emailing all registered attendees closer to the meeting about how to access the virtual platform.

    How do I change the courses I will be attending?

    Session selection has closed. If you are registered for the Annual Meeting, you should have received an email from ACC Education with login instructions for the virtual conference platform. Once within the platform, you can see and attend the sessions, as long as they still have space. If a session is listed as full, we ask that you please refrain from attending that session unless you have pre-registered for it through session selection.

    Where are the course materials?

    To access course materials (once available), please visit your Registration Statement, click the blue "Options" dropdown menu, and select "Access course materials."

    Please note, course materials are only available electronically via your Registration Statement or the event app. We recommend that you download the relevant course materials to your laptop or mobile device before the meeting starts, for ease of access.

    What if I need to cancel my registration?

    To cancel your registration, please email us as soon as you know you need to cancel. We must receive your cancellation request in writing. Please note the cancellation deadline. 

    Cancelling your registration does NOT cancel your hotel reservation (if originally attending in-person). You will need to cancel your hotel reservation separately. To do so, please contact the hotel you made a reservation at.

    Questions about the Platform

    1. Can you give us more info about the platform?
      • The platform we are using is 6Connex. The platform incorporates proprietary technology, as well as familiar tools like Zoom Meetings. Panel presentations will sit within this platform, whereas interactive sessions - workshops - will be hosted on Zoom. We will link out from the platform to the sessions on Zoom. It will be a seamless transition for attendees.
    2.  Will sessions be done on Zoom?
      • Yes. Workshops, which will be conducted live (in real-time), will take place on Zoom. 
      • Your ACC liaison or Program Organizer will be in touch with additional details as they become available.
    3. I am a Program Organizer and I missed the August 6 demo. Will I be able to access it?
      • Yes. Please see the demo recording at this link.
    4. Will speakers get a demo? Will Program Organizers be able to share the demo with the speakers?
      • There is currently no demo scheduled for speakers. For the demo recording, please visit this link.
    5. Is the recording of the Oct. 1st 6Connex training about the speaker studio and platform (relevant to pre-recorded panels) available?
      • Yes. Please reach out to your Program Organizer to obtain the recording access info.

    Questions about Format and Recording

    1. What are the differences between a pre-recorded panel and a live interactive workshop?
      • Interactive virtual workshops will be hosted live using Zoom.
      • Panel-format sessions will be pre-recorded in September to ensure quality, with seamlessly transitioned live panelist Q&A options to follow.
        • Your panel session (recorded in September) will play at a specified time (see program schedule) during the meeting for approximately 45-50 minutes. At the end of the recording, all panelists will arrive live to answer questions from the audience either via webcam or chat for the remaining 10-15 minutes of the session. Questions should be prepared in advance in case none are asked by the audience, since filling the full 60 minutes is essential for CLE/CPD purposes.
    2. What's going to be recorded as part of the pre-recorded panel sessions with live Q&A? Video/audio/slides?
      • Yes, video/audio/slides will be recorded - video of the person speaking with a card row at the bottom with other speakers, audio of the presentation, and slides of the presentation. See example.
      • Yes, the slides will be visible to the audience.
    3. Who advances the slides during the recording?
      • If your panel has a moderator, the moderator can be in charge of advancing the slides. If there is no moderator, one of the speakers must be designated to be in charge of advancing the slides.
    4. How will the recordings be coordinated/who is going to help us? 
      • Pre-recorded sessions will be recorded in September. We have sent the sign-up link to all Program Organizers, and they should have coordinated with you and selected a recording time. Speakers need to participate in the pre-recording and also the air date in order to participate in live Q&A.
      • Our trusted, long-time conference capture partner, Playback Now, will facilitate the recordings. Program Organizers will find the best available time for their speakers and then book a time slot with Playback Now. Their technicians and ACC will handle the rest!
    5. Can we re-record our presentation?
      • You won't be able to re-record your whole presentation. Your recording timeslot is 60 minutes long, and your content should take up 45-50 minutes of those 60, giving you some time to get set up with the Playback Now technician at the beginning, and potentially re-recording small bits of your presentation, that Playback Now can edit in.
    6. What if there are no questions during the time reserved for live Q&A?
      • Please prepare and bring questions you anticipate people might have about your presentation/topic, hypothetical situations that your audience can respond to, or bonus content you would like to share. 
    7. How do I know if my session is a pre-recorded panel or a live interactive workshop?
      • If you are unsure about your session format, please contact your Program Organizer or ACC liaison for assistance.
    8. For our pre-recorded panel, will we as speakers have a chat feature to communicate?
      • You will enter a "speaker studio" where you will be able to chat with each other (and it's not part of the broadcast talk or chat). A 6Connex representative will be available in that studio to assist with any technical items.
    9. For the live Q&A portion, when do we show up? Do we plan to be present for the entire duration of when our recorded session is scheduled to air, or do we join mid-way or closer to the end?
      • We ask that you join your session's speaker studio 30 minutes before the session is slated to start airing.
    10. Our session has an exception and doesn't fall into "panel" or "workshop." We also have other ideas about interactivity. What platform are we using and what do we do next?
      • Please coordinate with your ACC staff liaison, who will be happy to assist and work out the details with you.

    Questions about Your Session Time (Air Date)

    1. I know the schedule was being revised - what is my new scheduled session date/time?
      • Please see the revised program schedule here. Please note, it automatically adjusts to your time zone.
    2. Who will advance the slides during our live presentation?
      • If your session has a moderator, the moderator can be in charge of advancing the slides. If there is no moderator, one of the speakers must be designated to be in charge of advancing the slides.
    3. What should I expect on my session's air date in October?
      • Please test your system in advance and make sure that you can enter the virtual conference platform (for the live Q&A if your session is a pre-recorded panel) and both the virtual conference platform and Zoom (if your session is going to be a live, interactive workshop).
      • Please arrive to the pre-show preparation meeting on time (this prep meeting starts 30 minutes before your session is slated to start airing). This will be your last chance to prepare with your fellow speakers and iron out any issues before your session is presented.
      • Please be mindful of the time, particularly if your session is live (not pre-recorded). Please plan to be flexible and make adjustments if your session's time is almost up and you need to choose which remaining parts of your session to address.
    4. Pre-recorded panels: If our session is using the speaker studio in 6Connex, can we organize and prioritize the questions coming in from the audience?
      • Yes. Only you, as speakers, can see the questions are they come in. You can organize and prioritize the questions and mark them as answered, after you answer them. You can move questions up or down in the queue.
    5. Pre-recorded panels: What will the attendees see during the 10-15 min live Q&A after our presentation's recording finishes playing?
      • You and your fellow speakers will appear on video, and you will be able to speak to the audience and answer their questions during this time.
    6. Pre-recorded panels: Can the speakers communicate through the Presenter's Chat while our session's recording is playing?
      • Yes, within the 6Connex speaker studio, you can chat with your fellow presenters. This chat is hidden from the audience.
    7. Pre-recorded panels: Can we add prepared questions to answer in the event there aren't audience questions in the live Q&A? 
      • Yes, definitely!
    8. Can I test to make sure I can access 6Connex in advance of my session's live air date/time?

    Questions about CLE

    1. How does CLE requirements work with pre-recorded panels? (Given they have requirements for live questioning.)
      • The pre-recorded section will take up 45-50 min of the session's 1-hour timeslot. The remaining 10-15 minutes are reserved for live Q&A between the audience and speakers. Because the pre-recorded session is played (aired) during a scheduled time followed by live Q&A, it should satisfy the live interactivity component.
